LuitBiz DMS is an extremely easy to use document management system that helps companies manage their business documents easily. LuitBiz DMS is a completely responsive document management system that can be accessed from anywhere, anytime using any device connected to the Internet. Each screen of LuitBiz DMS has video and audio guides in addition to the text guides that help users get started within minutes of signing up. In LuitBiz DMS, one user is the admin user who has access to the “Admin” module and the other users have access to the DMS module. In the DMS module, users are of two types: group leaders and group members. However, one person can wear multiple hats i.e. one person can be a member of some groups and leader of some others – any combination is possible.
LuitBiz DMS allows users to add as many companies or business units as they require. Inside these companies or business units in LuitBiz DMS, users are arranged into groups. Groups can be around anything – departments, projects, etc depending on your requirements. The only requirement of a group is that each group should have a leader who can grant access privileges to the group members and create workflow and tagging templates for the group members.
Getting started with LuitBiz DMS is extremely easy.
The work starts with the Admin module.
Step 1: In the Admin module, create your companies or business units
Step 2: Add users to your system and give them privileges in the DMS module
Step 3: Create groups and add a group leader
Step 4: View the list of groups and add users to the group by clicking on “Manage Users” against the name of each group
Step 5: Under “Settings”, click on “Add Alert Settings” and select the conditions under which you want your LuitBiz DMS users to receive email alerts
That’s it! Admin job is done.
Now in the DMS module, the group leaders need to perform the following functions:
Step 1: Create folders and grant access privileges to your group users
Step 2: Create workflow templates and publish them
Step 3: Create tagging templates and publish them
Bingo! Group leader’s job is done!
Next, in the DMS module, the jobs of the group users are:
Upload documents: Users can upload documents (of any format apart from .exe) right from the dashboard. They can upload scanned documents (for automatic OCR) by clicking on the link “Upload Scanned Documents” and upload the documents in the folder they select.
Upload Workflow Documents: User can choose to attach a workflow to a document while uploading them and upload the document. Once they provide the workflow dates and relevant information, the system will take care of the approval process. The approver users are informed via email regarding the document approval and they can login to the system and check their dashboard for documents that require approval and then go ahead and complete the approval process.
Search Documents: Users can click on “Search Documents” and retrieve documents using the various search options provided in LuitBiz DMS
Tag documents: Users can tag documents either during uploading or later by editing document properties. Tagging documents help easy retrieval of documents
